Every year, thousands of e-commerce sellers lose money to the same avoidable mistake: trusting a supplier they never properly verified. A polished Alibaba storefront and fast replies on WhatsApp tell you almost nothing about whether a factory exists, whether it can make your product, or whether it will still answer the phone after you pay a deposit.

At CN Ally we verify suppliers for clients every week. This is the same checklist our sourcing team runs before we recommend a factory to anyone.

Start with the business license

Every legitimate Chinese manufacturer or trading company holds a business license (营业执照) with a unified social credit code. Ask the supplier for a copy, then check that the company name matches exactly the name on their bank account. If they ask you to wire money to a personal account or a company with a different name, stop. That is the single most common red flag we see.

A local agent can cross-check the license against government registries, confirm the registered capital and founding date, and flag companies that were registered suspiciously recently.

Confirm they are a factory, not a reseller

Many "manufacturers" on B2B platforms are trading companies buying from the actual factory and adding a margin. That is not always bad — a good trading company can be easier to work with — but you should know which one you are dealing with before you negotiate price.

• Ask for a video call from the factory floor, live, not a recorded tour. Ask them to show the production line for your specific product category.
• Request photos of the raw materials warehouse and the molds or tooling used for similar products.
• Ask which products they produce in-house and which are outsourced. Real factories answer precisely; resellers are vague.
• Check how many workers they claim to have versus the size of the facility shown on video.

Audit before the purchase order, not after

A pre-production factory audit costs far less than a bad batch. A proper audit covers the production environment, equipment condition, quality management systems, and whether the factory has made products like yours before. Our audits include photos and a written report within 48 hours, so you can make a go/no-go decision quickly.

Verify export experience

A factory can be excellent at domestic production and terrible at export. Confirm they have exported to your market before, understand your country's compliance requirements (FDA, CE, CPSIA, REACH), and have worked with your Incoterms. Ask for two export references you can contact.

Protect your payment terms

Never pay 100% upfront. The standard safe structure is 30% deposit with the balance after passing a pre-shipment inspection. For first orders, many of our clients also use trade assurance or escrow-style terms. If a supplier demands full payment before production, treat it as a dealbreaker.

1. Collect the business license and verify the company name on the bank account.
2. Run a live video factory tour and confirm in-house production.
3. Order a factory audit before signing the purchase order.
4. Start with a small trial order and a pre-shipment inspection.
5. Use staged payment terms — never 100% upfront.

Verification is not paranoia; it is the cheapest insurance in your supply chain. A few hundred dollars of due diligence routinely saves clients tens of thousands in defective or undelivered goods.
